Follow-up that happens whether anyone remembers or not.

Lead routing, nurture sequences, reminders and back-office automation built in n8n, Make.com or Zapier by our in-house team — the machinery that carries an enquiry from first contact to booked job, maintained after launch, which is when most automation quietly stops working.

The problem

Every campaign ends at the same point, and nobody owns what happens next.

Paid or organic, a campaign finishes in the same place: a person who has to be answered quickly and chased properly. That follow-up is either designed or improvised, and most businesses accumulate automation rather than design it. A form connects to a spreadsheet, someone adds a Zap, a workflow gets duplicated for a campaign that ended two years ago. Nobody holds the whole picture, so the same lead is emailed twice, an enquiry from one source is never routed at all, and the sales team keeps a private spreadsheet because they do not trust the system.

The other failure is silence. An integration expires, a field is renamed upstream, an API changes its response shape, and the scenario stops. Because automation is invisible when it works, it is also invisible when it fails.

We treat automation as something with an owner. Your specialist keeps a written map of what runs where, and reads execution history rather than waiting for someone to notice that records have stopped arriving.

What we take over

  • Lead capture from forms, calls, chat, ad platforms and marketplaces into one destination
  • Routing and assignment by source, service, location or value, with response-time escalation
  • Speed-to-lead alerts to the right person by SMS, email or Slack
  • Nurture sequences across email and SMS, branched on behaviour rather than sent to everyone
  • Appointment reminders, confirmations and rescheduling links
  • No-show recovery and reactivation of stalled enquiries
  • Quoting and proposal preparation, document generation and internal approvals
  • Scheduling and dispatch handoffs between office and field
  • Internal alerts for exceptions: unassigned leads, ageing opportunities, failed payments
  • Data sync between CRM, accounting, spreadsheets, project tools and your website
  • Custom integrations against REST APIs and webhooks where no ready-made connector exists

Where AI does the work

Applied where it removes drudgery, not where it removes judgement.

Every AI step below sits inside a workflow your specialist has tested, with a fallback path when the model is uncertain.

Enquiry classification

Free-text form messages, voicemail transcripts and inbox enquiries sorted by service, urgency and whether they are a genuine enquiry or a supplier pitch.

Data extraction

Addresses, job details and reference numbers pulled from unstructured email and documents into structured CRM fields, with anything ambiguous routed to a person.

Run monitoring

Execution logs and error patterns reviewed automatically, so a scenario that starts failing intermittently is raised before it fails completely.

A note on automation: a language model inside a workflow is a judgement step, not a certainty. Anything that touches money, contracts or a customer commitment gets a deterministic rule or a human approval, not a probabilistic one.

How it runs

Map, build, test, maintain.

  1. Map what exists

We document every current automation, integration and manual handoff, including the ones running in someone's personal account. Duplicated and abandoned workflows are identified before anything new is added.

  2. Choose the platform

n8n where logic is complex, volumes are high or the work benefits from self-hosting. Make.com for visual multi-step scenarios with branching. Zapier where the connector already exists and simplicity wins. We choose on the requirement, not on habit.

  3. Build and test

Each workflow is built with error handling, retries and a defined failure path. It is tested with real records end to end, then documented so you are never dependent on one person's memory.

  4. Maintain and extend

Execution history is reviewed, breakages caused by upstream changes are repaired, and workflows are added as the business changes. Each month you receive an account of what runs, what changed and what failed.

Worth knowing

Platform subscriptions are billed by the platform, not by us.

n8n, Make.com, Zapier and any third-party services a workflow depends on are paid directly at cost. Operation and task volumes vary with your activity, so we size the plan honestly rather than quoting a figure that only holds in a quiet month.

Automation does not repair a broken process, it repeats it faster. If a step is unclear to the people doing it now, automating it will produce confident, consistent errors. Where that is the case we will say so and fix the process definition first, even though it makes the engagement slower to show visible output.
