The enquiries you miss are the ones that never ring twice.

An AI receptionist that answers calls and website chat around the clock, qualifies the enquiry, books it into your live calendar and hands anything complicated to a person — so the demand your marketing creates is not met by voicemail. Configured and tuned by our in-house team.

The problem

Most enquiries arrive when nobody is free to take them.

Search results, maps listings and paid campaigns all end in the same event: a telephone ringing, or a chat window opening, at an awkward moment. Calls come while the team is on site, mid-job or already on another line. Chat messages arrive at nine in the evening. The caller does not leave a voicemail and does not try again, because the next result in the search listing answered on the first ring.

The usual remedies are an answering service that takes a name and a number, or a chat widget that collects an email address and promises a reply. Both create a second job for someone rather than finishing the first one. What a caller actually wants is a time in the diary.

An AI agent answers immediately, every time, asks the questions your team would ask, and writes the appointment into the same calendar your engineers work from. Your specialist tunes it on real transcripts week by week, so it gets more accurate about your business rather than staying where it started.

What we take over

  • Inbound call answering, with overflow and out-of-hours routing rules
  • Website chat, and messaging channels where they matter to your customers
  • Qualification questions written around your services, coverage area and pricing rules
  • Appointment booking into your live calendar, respecting availability and existing bookings
  • Knowledge base built from your own service descriptions, FAQs and policies
  • Escalation rules and warm handover to a named person
  • Call recording, transcription and summary written into the CRM record
  • Follow-up by SMS or email when a caller does not book on the first contact
  • Voice, tone and script tuning reviewed against real transcripts

Where AI does the work

Applied where it removes drudgery, not where it removes judgement.

The agent is the AI here, which makes its boundaries the important part of the configuration.

Qualification

The agent asks for service type, location, timing and the details your team needs to price the work, and records the answers as structured fields rather than a paragraph of notes.

Calendar booking

Availability is read live at the moment of the call, so the slot offered is one that still exists. Double bookings and travel-time conflicts are prevented by the calendar rules, not by the model.

Transcript review

Conversations are transcribed and analysed for missed intents, wrong answers and repeated questions the knowledge base does not cover. Your specialist uses that to revise the script.

Where the agent stops: AI handles qualification and booking well. It does not handle complaints, distressed callers, disputes, safeguarding matters, medical or legal questions, or negotiation. Those are configured to escalate to a person immediately, and the agent identifies itself as an assistant rather than implying it is a member of staff.

How it runs

From script to steady state.

  1. Learn the business

We sit with how enquiries are handled now: what your team asks, what disqualifies a job, what you will not quote for over the telephone, and which situations must reach a human without delay.

  2. Build and connect

The agent is trained on your own services, FAQs and policies, then connected to your telephone numbers, website and calendars. Escalation paths and out-of-hours rules are set before any live traffic reaches it.

  3. Run in parallel

The agent starts on overflow and out-of-hours calls, where the alternative is a missed call rather than a person. We review transcripts together before widening its remit.

  4. Tune monthly

Transcripts are read, wrong or thin answers corrected and qualification tightened. You are told how many enquiries were answered, how many were qualified, how many were booked and how many went to a person.

Worth knowing

An AI agent is a receptionist, not a salesperson.

It is very good at answering on the first ring, asking consistent questions and putting a time in the diary. It is not a substitute for a skilled person handling a considered, high-value or emotionally difficult conversation, and we would not configure it to try.

Some callers will ask to speak to a human, and that request should always be honoured on the first ask. If your customers would be poorly served by an automated first response, we will tell you that during the audit rather than take the engagement.

Telephony, messaging and model usage are billed by those platforms directly at cost, and they scale with call volume.
